From On-Premises to AI Infrastructure: How a Leading Event Furniture Specialist Future-Proofs Its IT with AllCloud

Customer Stories

This success story shows how a leading European provider of temporary space and event furnishings is using its exit from outdated on-premises hardware to fully modernize its IT landscape. With a lean internal team, the company faced massive performance bottlenecks and a lack of capacity for strategic IT projects. together with AllCloud, the group is carrying out a complete cloud migration to AWS, securing ongoing operations through the AllCloud Engage managed services model, and establishing a highly secure, prevention-first foundation with the TrustStack framework; the ideal basis for future AI applications in logistics and process automation.

  • Budget savings: Moving from local data centers to AWS is projected to reduce IT infrastructure costs by 25 to 30 percent.
  • Relief for a lean IT team via managed services: The AllCloud Engage service model takes over day-2 operations, 24/7 monitoring, and continuous FinOps cost optimization, providing lasting relief for the internal team.
  • Zero-trust security with “TrustStack”: The prevention-first framework, developed together with AWS, proactively makes configuration errors and unauthorized access technically impossible, without limiting developer agility.
  • Foundation for generative AI: Through AWS services such as Amazon Bedrock, the company is strategically preparing future use cases in logistics, real-time planning, and automated document processing.

As one of the leading providers of rental furniture and spatial concepts, the group is planning to rebuild its data provisioning model, not least to keep pace with the growing influence of AI on data access and usage. The company, which has a lean IT setup, deliberately relies on external IT services. The solution proposed by AllCloud comprises a full migration from on-premises to AWS, implementation of the prevention-first security framework “TrustStack,” and a managed services package (“AllCloud Engage”) covering operations, support, and FinOps. The prospect of significantly higher performance, maximum IT security, and targeted cost savings of over 25 percent tipped the decision in favor of partnering with AllCloud.

The company is among Europe’s leading providers of temporary space and event furnishings. With an international network of locations and more than 1,000 employees, the group offers a comprehensive portfolio of rental furniture and design concepts for events, trade fairs, and modern workplaces. Its sustainable business model is based on the circular reuse of resources, with flexible rental at its core.

The company faced considerable IT challenges. Core problems included massive performance bottlenecks and system outages in its on-premises solutions. In addition, the internal IT department was very lean, with only a few employees, and was usually fully occupied with day-to-day business. This left no capacity to carry out a strategic project purely in-house. To close this gap and bring the project to success with deep AWS cloud expertise, the company chose a strategic partnership with AllCloud.

The collaboration with AllCloud as the new IT partner began with an assessment phase through the AWS Migration Acceleration Program (MAP). Based on this analysis, a comprehensive business case was drawn up that transparently compares on-premises costs, migration effort, future cloud costs, and optimization potential.

Building on this, AllCloud designed a three-part solution strategy to address the challenges holistically. The first step covers the complete migration and modernization of the IT infrastructure from on-premises to AWS, including the use of AWS WorkSpaces. The second building block is the future use of generative AI (GenAI). The third step involves implementing managed services (“AllCloud Engage”) to secure operations and provide lasting relief for the internal IT team.

Seamlessly following the migration, the group will secure ongoing operations through the AllCloud Engage service model, which is available in two managed services options. AllCloud Engage Essential forms the basis for structured cloud governance. It handles AWS billing and offers added-value services such as free access to continuous FinOps cost optimization, regular expert sessions, and reviews by Solutions Architects. The package also includes 24/7 enterprise support. AllCloud Engage Professional goes further and covers full day-2 operations. This option extends the service with, among other things, proactive 24/7 monitoring for infrastructure and applications.

To ensure the highest security and compliance standards, AllCloud recommended implementing TrustStack, a proprietary security and governance solution developed together with AWS. It was presented to the customer as a strategic decision to reach a level of security that goes beyond standard cloud implementations. TrustStack acts as an additional foundational layer (“Secure Foundations”) above the standard landing zone and enables sensitive workloads to run in the public cloud by combining a prevention-oriented security approach with developer velocity. It works together with a “deployment platform” layer to proactively secure the cloud environment and eliminate the classic trade-off between security and speed of innovation.

TrustStack’s core principle is the “prevention-first” approach, which makes it technically impossible to launch new workloads or change configurations without the correct permissions and identities. This zero-trust model differs markedly from reactive security solutions. The solution comes in three variants, with the “Moderate” variant planned for the event furnisher, which is tailored to security-conscious companies. The solution is based on best practices AllCloud has gathered over the years and extends AWS’s recommendations to ensure maximum performance and security.

An accelerated project timeline, clear relief for internal IT, and a strategic vision for the future are firm components of the shared agenda. The upcoming full migration to the AWS cloud will bring considerable business benefits to the successful event specialist. The projected annual cost savings in the IT budget are targeted at around 25 to 30 percent. This marked cost reduction was a key factor in the customer’s decision to bring AllCloud on board and migrate to the AWS cloud.

The original project timeline of six months is being shortened further at the customer’s request, in order to move quickly away from the local data center and into the cloud. Looking ahead, the new AllCloud customer sees great potential in using data and generative AI (via Amazon Bedrock) to optimize its logistics processes. Planned applications include real-time intelligence, ML-supported planning, and automation of document processing.

The AI workshop offered within AllCloud’s portfolio supported the customer both technically and strategically to identify specific use cases and validate them in proof-of-concept phases. The company views the adoption of GenAI as a strategic lever to further increase its competitiveness and speed to market in the near future.
