RO Office Assistant

About The Position

AllCloud is looking for an Office Assistant that will be a key component of the Employee Succes team of Romania site from various perspectives: admin, logistics, HR tasks etc.

The main responsibilites are:

●     Provide direct support to the , HR and Department Leaders Staff members;

●     Phone calls - answering, taking and forwarding messages;

●     Reception related tasks;

●     Responsible of copying, printing and plotting outside the company;

●     Organizing different types of deliveries (via post, DHL, bike express) and their dispatch;

●     Correspondence with subcontractors, institutions and authorities;

●     Assist in organizing business travels (hotel accommodation, rent-a-car, taxi), meetings and appointments;

●     Cooperation with the landlord’s facility manager and external suppliers with the objective to best represent the interest of the company and its employees;

●     Supervise the maintenance of office areas and equipment’s;

●     Manage operation of employee dining, meeting and resting facilities;

●     Ordering stationery, office equipment and furniture;

●   Identify, get approval and select office suppliers if needed;

●     Partner with HR in the onboarding process, maintain local confidential information

●     Manage company planning, drive and manage company events.

●  Performs other related duties as assigned.

Requirements

●     Hands on experience in office management;

●     Strong interpersonal, oral, and written communication skills;

●     Initiative;

●     Problem-solving skills;

●     Able to work independently and as a part of a team;

●     High sense of confidentiality;

●     Able to work within a diverse and cross-functional team;

●     Highly self-organized, multitask and realign priorities as needed.

General requirements

●     University Degree;

●     Driving licence;

●     English language proficiency;

●     Very good PC skills;

●     Well organized, stable person, open mind, flexible, able to work under pressure;

●     Familiar with Google Suite (e.g., Docs, Sheets, Slides, Calendar, etc.), Slack,Zoom.
